Your email address says something about you before the message is even read.
An address at gmail or a consumer provider looks amateurish on a quote, and above all it does not belong to you. An address on your own domain follows you whatever supplier you use, and passes on with the business.
We set up addresses on your own domain, on your hosting or on an online service depending on what you need. Configuration on computers and phones, shared addresses such as contact@ or accounts@, forwarding, consistent signatures.
And above all: the domain name stays in your name, with your credentials. We see too many businesses discover they cannot change supplier without losing their address.
SPF, DKIM and DMARC. These records prove to Gmail, Outlook and the rest that your messages really come from you. Without them, your quotes and invoices land in junk with nothing to tell you - and the customer will not say they received nothing, they will assume you never replied. We check them as a matter of course.
We install and configure Microsoft 365, by far the most widespread: email, shared calendars, Word and Excel, online storage, remote meetings. Setting it up on each machine is included, see workstation setup.
But it is not the only route, and a subscription per person per month adds up. Depending on your usage, conventional hosted email plus a sharing space can be enough for a fraction of the cost. We price both before advising you.
The question is not only technical. Who has access to what, what becomes of a document when its author leaves, how to find a version from three weeks ago. We put in place a readable structure - by department or by project - with rights that follow actual roles.
A reminder that belongs here: online storage is not a backup. See backup and security.
This is often the most immediate gain from business email, and the most underestimated: shared calendars that prevent double bookings, rooms or vehicles that can be reserved, and everyone's availability visible without making a call.
We configure this sharing around how you actually work, with differentiated rights: seeing whether a colleague is free does not require seeing the detail of their appointments.
When someone leaves, their mailbox often holds customer correspondence the business needs. Cutting it off abruptly loses the history and bounces an error back to anyone writing in; leaving it open indefinitely is a risk, especially if the password has not changed.
Good practice comes down to three steps: transfer the history to a manager, set a temporary forward to a shared address, then close the account. We apply this as part of ongoing IT management.
Changing email systems is daunting, and rightly so: it is the one tool nobody can be without, even for half a day. The migration is prepared: transfer of history and contacts, configuration in parallel, switchover at an agreed time, and support for users in the first few days.
